Nobody chooses to run a company from spreadsheets and chat threads. It happens gradually: a sheet for orders, a WhatsApp group for the team, a folder of documents. It works at first, and then the company grows faster than its tools.
Nothing has to be broken to be worth simplifying. If the signs below sound familiar, it’s probably time to look at how information moves through the company.
1. There are several “final versions”
When every colleague has their own copy of the file, nobody knows which one is right. Time goes into checking rather than working.
2. The same data gets entered more than once
From email to Excel, from Excel to the invoice. Every copy is lost time and one more chance to make a mistake.
3. Orders live in conversations
If finding the status of an order means scrolling through messages, WhatsApp has quietly become your management system.
4. Everything depends on one person
When a key colleague is on holiday, the process stops. The knowledge is in their head, not in a system.
5. You have no overall picture
Answering “how are we doing this month?” takes a day of gathering numbers from several places.
What to do next
You don’t have to change everything at once. Pick the flow that gets in your way the most and start there. We wrote about how to choose it in our article on the first workflow to automate.
